Woods Genie Furnishing Private Limited (“Woods Genie”, “we”, “us”) operates woodsgenie.com. This policy explains what personal data we collect when you use our website or contact us, why we collect it, and the choices you have. It is written to comply with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. What we collect

When you send an enquiry (project enquiry form, contact form or furniture catalogue enquiry) or message us on WhatsApp, we collect what you choose to give us:

Name, mobile number, email address, company or organisation name and GSTIN
City, site address, sector and details of your project — services needed, scope, area, quantities, budget range, timeline, notes and products you add to an enquiry list
Your preference to receive updates on WhatsApp
Messages you exchange with us on WhatsApp or by email

We also record a small amount of technical information with each enquiry: the page you sent it from, the website or advert that referred you (for example campaign tags in the link you clicked), your IP address and the time of submission. This helps us understand which pages and adverts are useful and to block spam.

Your browser stores two small items on your own device: the advert or campaign you arrived from (cleared when you close the tab) and your furniture enquiry list (until you send or clear it). We do not currently use advertising or analytics cookies. If we add them, we will update this policy and ask for your consent where required.

2. Why we use it

To respond to your enquiry, prepare designs, quotations and proposals, and arrange calls, meetings or site visits
To send you quotations and project updates by phone, email or — if you opted in — WhatsApp
To deliver and manage a project if you become our client
To improve our website and understand which adverts bring useful enquiries
To prevent spam and misuse, and to meet legal, accounting and tax obligations

We process your data on the basis of the consent you give when you submit a form or message us, and where needed to perform a contract with you or to comply with the law. We do not sell or rent your personal data.

3. Who can see it

Our own sales, design and project team, on a need-to-know basis
Service providers who run our systems for us, under confidentiality: website and database hosting (Hostinger), file storage and delivery (Cloudflare), business email (Hostinger) and WhatsApp messaging (Meta Platforms)
Government or law-enforcement authorities when the law requires it

Some of these providers may store data on servers outside India. We use established providers that apply appropriate security safeguards.

4. How long we keep it

Enquiries that do not become projects: up to 3 years from our last contact, then deleted or anonymised
Client and project records: as long as needed to complete the project, honour warranties and meet accounting and tax requirements (generally 8 years)
You can ask us to delete your data earlier (see section 6)

5. Security

Your data is stored in our password-protected business systems, accessible only to authorised team members with individual logins, over encrypted (HTTPS) connections. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data and will notify you and the authorities of a personal data breach as required by law.

6. Your rights

You can ask us to:

tell you what personal data we hold about you and how we use it
correct or update inaccurate or incomplete data
delete your data, unless we must keep it by law
stop sending you WhatsApp or email updates — on WhatsApp, simply reply STOP
withdraw your consent at any time (this does not affect anything done before)
nominate another person to exercise these rights on your behalf

Write to our Grievance Officer (below). We will respond as soon as possible and within the time required by law. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

7. Children

Our website and services are meant for businesses and adults. We do not knowingly collect data from anyone under 18.

8. Changes

We may update this policy. The “Last updated” date above shows the latest version; significant changes will be highlighted on this page.
